Terms & Conditions

Bookings:

A booking shall be deemed confirmed once a proof of payment of 50% deposit has been received. Until such time, we cannot guarantee keeping the requested dates and houses available. If a deposit is not received within 24hrs after booking, the dates will automatically be opened up again.

Cancellations:

Our general rule for cancellation prior to arrival is:

  • 30 days or less prior to arrival date – forfeit 100% of deposit as a cancellation fee.
  • No show - forfeit 100% of monies received.
  • Balance to be settled 1 week prior to arrival as stipulated on your confirmation letter.
  • Regretfully no right of admission will be granted nor keys will be handed over until balance settled.
  • In the event of the agreed payment not received by the stipulated date on the confirmation letter, Frog Mountain Management shall be at liberty to release the reservation without notice to you and re-book the house.
  • In the event of a cancellation after the balance is paid, regretfully no refunds can be reimbursed as the full payment will be seen as a cancellation fee.
  • For a last minute booking ( 1-7 days before or on the day ), full payment is expected.

Block Bookings:

  • A block booking is defined as booking out 2 or more houses over the same period.
  • Block/group bookings for up to 6 houses have a 3 month/ 90 day cancellation policy.
  • 50% Deposit to secure booking.
  • Half of 50% Deposit is non refundable.
  • Full 50% Deposit is non-refundable if stay is within 90 days of booking made.
  • Half of 50% deposit shall be refunded in full if cancelled 3 months or more prior to commencement to stay.
  • If stay is cancelled within 90 days, a cancellation fee of the full amount of the deposit will be charged.
  • Balance is due 1 month prior to stay and will be non-refundable and non-transferable after payment.
  • For cancellations after due date of balance, the full amount of balance will be charged as a cancellation fee.

Cancellations policy for December School Holiday Peak Season, School holidays & Long Weekends:

  • December Peak Season bookings have a 3 month/ 90 day cancellation policy.
  • 50% Deposit to secure booking.
  • Half of 50% Deposit is non refundable.
  • The other half of 50% deposit is refundable if stay is cancelled 90 days or longer, prior to the start of stay. (The 50% cancellation fee retained by Frog Mountain if cancellation is 90 days or shorter, is non refundable or transferable).
  • Please note that 100% of deposit paid is non-refundable & non-transferable for bookings 90 days or less prior to stay over our end of year peak season.
  • No refunds or transfers will be considered for late arrivals or early departures.
  • During the December holiday period, the full balance is expected 1 month prior to arrival and thereafter will be non-refundable. 
  • For cancellations after due date of balance, the full amount of balance will be charged as a cancellation fee.
  • Should the reservation not be taken up on the arrival date the accommodation will be held until 09:00 the following day after which the reservation will be cancelled and all monies paid will be forfeited.
  • Please be sure of your holiday plans before you make the booking or pay your deposit.
  • In the event of the agreed payment not received by the stipulated date on the confirmation letter, Frog Mountain Management shall be at liberty to release the reservation without notice to you.
  • For all other holidays and Long weekends: 30 day policy applies with balances due 2 weeks prior.

Transferring bookings:

  • If you would like to transfer your booking within stipulated cancellation period, Frog Mountain will agree to transfer a booking only once, within a year of original booking. New rates will apply. If the booking goes from summer into winter, the original rates would apply.

Mid-Week specials bookings:

  • Our mid - week special offers you: Pay for 2 nights and get the third for free, only outside of school holidays or long weekends or at the discretion of management. They only apply to a booking of a house for 3 consecutive nights (Between Monday and Thursday). Offer is subject to availability and 3 consecutive nights of that house being available. The offer does not apply if you have to change houses due to lack of availability of 3 consecutive nights.

Covid or other pandemics:

  • Only in the event of a Government enforced nationwide lockdown, the booking can be transferred into the future at future rates, otherwise normal T's and C's apply.
  • Unfortunately no refunds of deposits.

Payment method

  • We accept VISA, MasterCard, and EFT payments.
  • No cheques accepted.

Check - in time

  • Please check in from 14h00 unless prior arrangements have been made.
  • Peak Season: Check in at 15h00
  • Guests wanting to check in after 18h30 should advise us what time they intend to arrive otherwise we may consider it a no-show.

Check - out time

  • Please check out by 10h00 strictly unless prior arrangements have been made.
  • We allow late check-outs if no one else is coming in, however this needs to be organized with us otherwise check out is strictly 10am and no later.

No Noise/Loud music

We have a strict no loud music policy on the farm. We welcome the happy sounds of kids and adults playing, but thumping music is OUT. Guests love to experience the peace and sounds of nature and so no music will be tolerated at any times, unless of course the entire farm is booked out for a celebration.

Pets

  • We advertise as pet-friendly and do allow a reasonable amount of well socialized dogs to visit upon request. We charge R250 per dog for the entire stay.
  • We are animal lovers at Frog Mountain Getaway and are committed to dogs being able to be as free-range as possible, enjoying the farm just as much as any human guest.
  • The pet owner understands that Frog Mountain Getaway’s owners have 5 dogs (4 extremely well socialized and 1 a rescue with a sad past who can be a little unpredictable with other rescue dogs), and many cats and other domestic animals on the farm.
  • The pet owner understands that other guests may bring well- socialized dogs onto the farm.
  • It is the owner’s discretion to bring their dogs, knowing the guest houses and farm is un-fenced (except for Sam’s Place).
  • Any dog that poses a threat to our property, farm animals, other guests’ pets and any person, shall not be permitted. 
  • If an issue should arise with a guest’s dog during your stay:
    We will always try to help you resolve any issue.
    However, the guest is fully responsible to manage the situation and take the necessary steps to rectify the situation by: Either tethering/restraining or keeping the dog indoors or, worst case scenario, removing the dog from the farm. In the unlikely event that this should be required, and the stay be interrupted, unfortunately no refunds will be granted.
  • Frog Mountain Getaway management has the right to ask a guest with a dog they deem unsafe, to be removed from the farm, should they feel that the dog poses a risk to any other animals, property or person on the farm.
  • The owner shall at all times be responsible for their dog and liable for any damage that their dog causes to any other animal, person or property on Frog Mountain.
  • The owner understands the inherent risks of bringing their pets onto the farm which is located within a wilderness area.
  • As with any farm, Frog Mountain Getaway is host to a variety of wild animals, including venomous snakes and a large troupe of baboons. 
  • Frog Mountain Getaway cannot be held liable in the event of a snakebite or other injury for any pet or human visiting our farm.

General

  • Frog Mountain Getaway Management reserves the right of admission.
  • The price quoted and agreed upon at the time of reservation is fixed and will not be affected by any subsequent special offers. Special offers usually carry restrictions and conditions, and apply to special circumstances.
  • In the event of an email quote being sent and a error or typo with the price being made, management reserves the right to update and rectify the price quote based on the price quoted on our website.
  • Accommodation is subject to availability on a first come, first serve basis.
  • Although Frog Mountain Getaway endeavors to take the utmost care at all times, and has not to date had any issue with crime, or theft, it does not accept liability for loss of and/or damage to such items and/or property.
  • Frog Mountain Getaway reserves the right to cancel any booking forthwith and without liability on its part in the event of any damages or destruction of the allocated units by fire, floods or other causes.
  • Guests will be held responsible for any damage or loss caused to our property by your acts or omissions, default, accident or neglect. By booking with us you agree to indemnify us and to pay us on demand an amount reasonably required to make good or to rectify such damage or loss caused by you. Normal wear and tear are excluded.

The essence of a Nature Getaway - Full Indemnity:

By booking to stay with us you hereby indemnify, hold blameless and absolve Frog Mountain Nature Sanctuary and any of its associated companies, its directors, trustees, employees and representatives, against and from any or all claims whatsoever that may arise in connection with any loss of or damage to the property or injury to the person of my child/ward/self/invitee/visitor (as the case may be) in the course of the visit to Frog Mountain Nature Sanctuary and understand and accept that the visit by me/my child/ward/invitee/visitor (as the case may be) is undertaken at my/their own risk.

I also accept that a visit to Frog Mountain Nature Sanctuary is in a Wilderness area and can be dangerous so I/my child/ward/invite/visitor (as the case may be) undertake to carefully follow the instructions of the representatives of Frog Mountain Nature Sanctuary and will take note of any signboards erected by Frog Mountain Nature Sanctuary

The Customer, its employees, guests or invitees enter and / or access and / or use these premises at their sole and exclusive risk.  Neither the owner of these premises, nor their employees,  are or may be held liable and / or responsible for any direct, indirect, special, punitive, incidental, exemplary, consequential or any other loss or damages caused through the negligence of the owner, or otherwise arising out of any other cause whatsoever, including but not limited to damages or loss or personal injury or fatal injury caused by fire, theft, floods, force majeure, third party acts, civil unrest and / or insurgence, to the parked vehicles or any content left therein or for any injuries or fatality suffered by any person entering, accessing or using these premises.  The person entering, accessing or using these premises, hereby indemnify and hold harmless the owner against all and any claims of whatsoever kind of nature and howsoever arising, which may be made against the owner by any claimant whatsoever in respect of personal injury or fatality or damage to vehicles or property, occurring or arising out of any one or more of the incidents set out above, nothing omitted.

Force majeure:

Frog Mountain Getaway cannot be held responsible for not fulfilling its obligations due to unforeseen circumstances, such as but not limited to bankruptcy, natural disasters, acts of terrorism or serious threats of terrorist attacks, sabotage or piracy, strike or boycott, acts of governments or any other acts of authority whether lawful or unlawful, blockade, siege or sanctions, accidents, fires, explosions, plagues or any event of a similar nature. Frog Mountain Getaway cannot guarantee the availability of electricity in the event of unexpected power outages or scheduled load shedding.

 

Frog Mountain is situated in a Wilderness Area:

All persons who use these premises, facilities and river, do so entirely at their own risk. The owner, trustees, beneficiaries, employees, officers and / or agents will not be responsible for any cause of action, claims, damage, costs, loss, injury or death of any person on the property or their possessions, and are hereby fully indemnified. This indemnity applies equally to minor children under the supervision and control of persons using these premises, their facilities and the river.

  • Guests acknowledge that being in nature on a farm carries with it the inherent risks of injury, whether from contact with venomous snakes, to bee stings, to simply slipping on stones or mud at river.
  • Guests agree on behalf of themselves and the members of their parties that neither the establishment, its owners, employees nor agents shall be responsible for any injury or death of any person or the loss or destruction of or damage to any property upon the premises, whether arising from fire, theft, snakebite or any cause and by whomsoever caused or arising from the negligence (gross or otherwise) or wrongful act of any person in the employment of the guesthouse.
  • Frog Mountain Getaway Management reserves the right to cancel your booking if your accommodation was unavailable or deemed unsuitable for reasons beyond our control.  We would attempt to offer you alternative accommodation, however if this was not possible, or unacceptable to you, then we would refund all monies paid by you.  Our liability would not extend beyond this refund.
  • Guests understand that the farm and all facilities are for the most part subject to the forces of nature. The facilities including the river, waterfall, canoeing, foefie-slide may sometimes be unavailable, if say the river is in flood and it is unsafe. The play area and lawns may also be flooded if we have unprecedented rains. This may happen frequently in winter. We cannot be held liable for issues beyond our control.
  • We will not offer refunds if our facilities from within the cottages to the land are affected by forces beyond our control. All facilities on the farm, given it's nature, may be affected by the weather. The guests understand too that we receive our water from the kloof via gravity, and once in a while after a flood, air pockets may occur resulting in water interruption (which we will always fix as immediately as possible). This is extremely rare, but it can occur. Thus water interruptions may occur.
  • Guests will not be liable to receive refunds if an appliance should break during their stay (something that is out of Frog Mountain Getaway's control). In the unlikely event of a hot tub, a shower, a kitchen appliance, and electrical device for example failing, every reasonable effort will be made to repair and/or replace or purchase to rectify the situation. Guests must understand however, that we do not have the luxury of the instant gratification of a large city. We are near a small town and often parts have to be ordered, and sometimes things cannot be fixed immediately especially on a weekend. Equally contractors such as electricians and plumbers are often not avail on the weekend. We do our best at all times.
  • Smoking inside the guest houses is prohibited, by law. Cigarette buts are not to be discarded anywhere outside on our farm. A person is responsible to make sure their butt is out with water, and discard it in a rubbish bin. Any person seen to discard a cigarette butt on the farm (which poses a fire risk and is potentially life threatening to all wildlife, humans and animals as well as the structures on the farm) will be given a warning and asked to rectify the situation. Failure to comply will result in being asked to leave the farm and/or prosecution. They will be held liable should their butt ignite and cause a fire. 

These terms are non-negotiable and receipt of a pre-payment or a deposit assumes your unconditional acceptance of these terms.
Frog Mountain Getaway reserves the right to update and alter these Terms and Conditions at any time.
